Does your district have an
Open Records Policy for email?

According to the new federal rulings passed by the Supreme Court on December 1, 2006, school districts are required to archive all electronically stored information, including email, which could be considered evidence in the event of a lawsuit. All electronically stored information will be subject to legal discovery during a lawsuit and failure to produce these records would put your district in violation of the state and federal open records laws.

Gaggle's Email Archive Solution helps you easily store, manage, and retrieve your data with just a few clicks of the mouse and an internet connection!

With the Gaggle Archive Solution all messages are saved on our redundant storage systems. Gaggle maintains two enterprise class storage systems; one in California and one in Illinois. These storage systems are designed to work even with multiple drive failures and provide snapshot capability so that files cannot be inadvertently or intentionally deleted.

Gaggle's Archive solution costs less than other hosted solutions and the Total Cost of Ownership is substantially less than buying and maintaining storage equipment at the district's data center. Gaggle's Archive Solution even has an inexpensive option for Spam and Virus control.

Hosted Email Archiving for Exchange, GroupWise, FirstClass, Lotus Notes, NetMail,IMail..
Our Hosted Archiving solution allows you to continue using your existing email system. It works with MS Exchange, GroupWise and even Gmail accounts. All inbound, outbound and internal mail is sucked out of your server and stored in shadow accounts on Gaggle's system.

The delivery of the mail to Gaggle can be done in real time or it can be scheduled late at night so that your Internet bandwidth is not affected. Once the mail is received by Gaggle's servers the messages are parsed so that mail is stored in the inbox or sent folder for each user's shadow email account. The archive system honors all CC and BCC rules as well. In the case of Groupwise, Gaggle can even preserve the folder structure and message location, as it exists in each user's account.

Hosted Gaggle Account Archiving
If your district already has email accounts hosted on the Gaggle servers, our optional Archiving Solution can be implemented the same day you order it. Your Gaggle accounts will work exactly the same. However, when users delete messages they are not deleted from our servers but instead are moved to each user's Archive folder.

The Archive folder is only accessible by the District Administrator level accounts. The District Administrators can view and search through all messages in the Archive folders of the users in their district. No one can delete the messages from the Archive folder so they are completely secure until the district chooses to cancel the service.

The Archive folder is just like all other Gaggle folders. Messages can be move out of the Archive folder back into other folders such as the Inbox or personal folders. This feature gives your District Administrators a quick way to retrieve lost messages.

Message Restore Capability
Messages, which have been deleted from a user's Exchange, GroupWise, Google account etc can be restored via Gaggle. Logging into the Gaggle web interface, users can select messages to be redelivered to the local mail server.

Message Searching
The messages stored on our redundant servers are indexed for quick searching. In addition to searching the message body and subject, most major attachment types are also indexed for fast searching. Gaggle provides search capability for MS Word, PowerPoint, Excel, PDF, RTF and TXT documents.

Because the search functionality is built into Gaggle's new AJAX interface it is very fast and very easy to use. Gaggle's web based interface looks just like an email client such as Outlook. There is no complicated system to learn, you'll immediately know how to search for and find the archived messages you need.

Attachment Searching
Common attachment types are decoded and indexed on Gaggle for fast searching. Supported document types include: PDF, Word, Excel, PowerPoint, RTF, HTML and TXT, For example using the search terms "+cisco -sam" will find messages that mention Cisco equipment but exclude messages refering the individual "Sam Cisco."

Back-up Email System
Another advantage offered by Gaggle is that it provides a complete back up email system in case of emergency. If your mail server is down or the internet connections is broken your key administrators can still communicate via Gaggle using pop3, smtp, IMAP or web based mail.

Reasonable Cost
The cost for Gaggle's Hosted Archiving Solution is very reasonable. The annual cost to archive 500 staff accounts is significantly less than it would cost to purchase a 1.5 Terabyte enterprise storage solution from DELL.
